This policy explains how Aussie AI Receptionist Pty Ltd handles personal information — both for visitors to this website and for people who call a business that uses our AI receptionist.

1. Who we are

Aussie AI Receptionist Pty Ltd (ABN 95 695 526 160, ACN 695 526 160) ("we", "us", "our") builds and operates AI-powered voice and SMS receptionist systems on behalf of Australian businesses ("Clients").

2. Our commitment

We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). We apply the APPs as a matter of policy because we handle voice recordings, and we believe that warrants a high standard of care — regardless of whether every provision is strictly mandatory for a business of our size.

3. Website visitors

What we collect

Analytics. We use Google Analytics to understand how people find and use this site. This may collect your IP address, browser and device type, pages viewed, time on site, and referring source.

Enquiries. If you contact us or book a demonstration, we collect the details you provide — typically your name, business name, email, phone number, and what you tell us about your business.

We do not run advertising pixels, remarketing tags, or cross-site tracking on this website.

Cookies

You can disable cookies in your browser, or use the Google Analytics Opt-out Browser Add-on. The site still works.

4. Callers — how we handle your call

You're told the call is recorded, before anything else

When you call a business using our AI receptionist, the assistant tells you at the start of the call — before asking you anything — that the call is recorded. If you keep talking after that, you are taken to have consented to the recording.

If you would rather not be recorded, you can say so, and the assistant will offer another way to reach the business — a callback or a text. You are never forced to choose between being recorded and hanging up.

Speaking with an AI

Our assistants are AI. They never claim or pretend to be human, and if you ask whether you're speaking to a person, a bot, an AI, or a recording, the assistant tells you the truth straight away.

What we collect from a call

Whose information is it

The business you called is the owner of your information. We hold and process it on their behalf as their service provider. You can contact us to access, correct, or delete your details, and we'll help — but the business you called is the primary decision-maker about their own customer records.

How long we keep it

Call recordings are kept only for a short period, and access to them expires within a few days of the call.

We keep recordings only long enough for the business to review a call if a customer disputes what was agreed, and for us to investigate a technical fault. Access to a recording expires within a few days of the call. You can also ask us to delete a recording at any time, and we practise data minimisation — we do not retain your customers' voice recordings any longer than needed. Limited call metadata (date, duration, outcome, and which business the call was for) is retained for reporting and invoicing — it does not include the recording, the transcript, or the content of what you said.

5. Automated systems and AI

Our receptionists are AI systems. They are not used to make decisions that determine your rights, entitlements, credit, employment, insurance, or access to a service. They answer, take details, triage urgency, and route your call. A person at the business you called reviews the enquiry and makes the actual decisions.

AI can make mistakes — it may mishear, misclassify, or state something inaccurate. Anything the AI says is not a binding representation by the business you called. If something matters — a price, a booking, a commitment — confirm it with a person.

6. Where your data is stored, and who we share it with

Your call data is stored in Australia. Our database is hosted in the Sydney (ap-southeast-2) region, so your information stays onshore at rest.

To deliver the service, some information is processed by the providers below. Several operate overseas, primarily in the United States.

By using the service, or by continuing a call after the recording notice, you consent to your information being disclosed to overseas recipients in the countries listed. Overseas recipients are contractually required to protect your information, but we cannot guarantee overseas laws provide the same protection as Australian law (this disclosure is required by APP 8). We also disclose call information to the business you called — that is the purpose of the service. We do not sell personal information, and we do not disclose it to advertisers or data brokers.

7. How we protect information

Full detail is on our Data Security page. In short: data is encrypted in transit and at rest, access is restricted, client dashboards use row-level security so no Client can see another Client's data, and recordings are kept only briefly and can be deleted on request. If a data breach occurs that is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme.

8. Accessing, correcting, or deleting your information

Email admin@aussieaireceptionist.com.au to access, correct, or delete the personal information we hold about you. We respond within 30 days and may need to verify your identity first. If your request relates to a call to one of our Clients, we may need to consult that business. Note: because recordings are retained only briefly, a recording from an older call may no longer be available.

9. Complaints

If you're unhappy with how we've handled your personal information, contact us first at admin@aussieaireceptionist.com.au. We'll acknowledge within 7 days and respond within 30 days. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC): oaic.gov.au · 1300 363 992 · GPO Box 5218, Sydney NSW 2001.

10. Changes to this policy

We may update this policy. The current version is always at aussieaireceptionist.com.au/privacy.html with the date of last update at the top. If we make a significant change to how we handle call recordings, we'll notify our Clients so they can inform their customers.
